This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit www.northlineemergency.com, contact us, submit a training request, register for a course, attend training, or otherwise use our services. Northline is based in Canmore, Alberta, Canada. Our privacy practices are governed by applicable Canadian privacy laws, including Alberta's Personal Information Protection Act.

Depending on how you interact with Northline, we may collect:

- Accommodation, accessibility, dietary, emergency-contact, or safety information that you voluntarily provide and that is reasonably necessary to support your participation

- Any other information you voluntarily provide to us
Where an employer, department, or organization registers participants, Northline may receive participant information from that organization.
Please do not submit medical, financial, or other sensitive personal information unless Northline has specifically requested it for a reasonable and identified purpose.
2. How We Collect Information
We may collect personal information:
- Directly from you through our website, email, telephone, registration forms, course documents, and in-person interactions
- From an employer, host department, organization, or authorized representative registering you for training
- Through Wix, Google Workspace, payment providers, website analytics, cookies, and other technology used to operate our business
- From certification, evaluation, or training partners where necessary to coordinate a service you have requested
- As otherwise permitted or required by law
Before or at the time we collect personal information, we will identify the purpose for which it is being collected where that purpose would not otherwise be reasonably apparent.
3. How We Use Personal Information
Northline may use personal information to:
- Respond to questions, requests, and inquiries
- Prepare quotes and training proposals
- Schedule and deliver courses, consulting, and related services
- Confirm prerequisites, qualifications, registrations, and attendance

- Provide participant support and reasonable accommodations

- Meet contractual, insurance, accounting, legal, regulatory, certification, and recordkeeping requirements
- Send promotional communications where you have provided consent or where otherwise permitted by law

Optional consent to receive marketing communications is separate from the information required to respond to an inquiry, register you, or provide training.
5. Disclosure of Personal Information
Northline does not sell or rent personal information.
We may disclose limited personal information to:
- Northline instructors, employees, contractors, and authorized representatives who require it to perform their duties
- Your employer, host department, or sponsoring organization where it registered or paid for your training, or where reporting is authorized or contractually required
- Independent evaluators, proctors, certification bodies, training partners, or course providers where required to coordinate certification or a requested service
- Wix, Google Workspace, payment processors, accounting providers, scheduling providers, email providers, analytics providers, and other service providers used to operate Northline
- Professional advisers, insurers, auditors, or legal counsel
- Government, regulatory, law-enforcement, or other authorities where disclosure is permitted or required by law
- Another organization in connection with a proposed business transaction, subject to applicable privacy requirements
- Other parties with your consent
We limit disclosure to the information reasonably required for the applicable purpose.
6. Employer and Department-Sponsored Training
Where your employer, fire department, municipality, clinic, organization, or another sponsor registers you or pays for your training, Northline may provide that organization with information reasonably connected to the service, including:
- Registration and attendance status
- Course completion status
- Administrative or scheduling information
- Qualification or prerequisite status
- Records or documentation required under the service agreement
Northline will not provide unnecessary personal details or unrelated information to the sponsoring organization.
7. Payment Information
Where online payment is available, payment information may be processed by Wix or another third-party payment provider.
Northline does not intend to collect or retain full payment-card numbers directly. Payment providers process payment information under their own privacy and security practices.
We may retain transaction details required for invoicing, accounting, refunds, dispute resolution, fraud prevention, and legal compliance.
8. Website Hosting and Service Providers Outside Canada
Northline's website is hosted through Wix, and Northline also uses Google Workspace and other technology providers.
Personal information processed through these services may be stored or processed outside Canada, including in the United States, Ireland, Israel, South Korea, Taiwan, countries in the European Union, and other jurisdictions used by the providers and their subprocessors.

Retention periods may vary based on the nature of the information, the course provider, the certification program, applicable law, contractual requirements, and the host organization's approved records schedule.
When personal information is no longer reasonably required, Northline will securely destroy, delete, or anonymize it in accordance with its records and privacy practices.

Northline uses reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information in our custody or control.
These safeguards may include access restrictions, password protection, multi-factor authentication, secure platforms, staff and contractor confidentiality expectations, controlled records access, and secure disposal practices.
No electronic transmission or storage system can be guaranteed to be completely secure. Where a privacy incident occurs, Northline will assess and respond to it in accordance with applicable law.
